Resolving Email Privacy Issues Using CPA Websites
Most accounting practices have accepted email as a dependable and secure mode of communication. This is unfortunate since email is not actually safe. Numerous practices routinely broadcast tax documents, QuickBooks files, and similar privileged data by email, and this is a mistake. It puts their clients in danger of being victimized by numerous crimes, most notably identity theft. When transmitting an email you should not ever consider that it's protected. When you send an email to someone it doesn't go straight to it's destination. It passes through a dozen or more mail servers, and these mail servers are popular targets with hackers and malware. Third party servers are often poorly patched, obsolete, and otherwise neglected. Even well tended mail servers can play host to Trojans that will quietly forward your emails to a hacker, most likely by posting them to a website. All it takes is one hacked server along the way to intercept your email, and you'll never know what happened.
One popular solution offered by some "secure email" firms is encryption. Unfortunately all this does is make the file harder to open. It does nothing to prevent it from being intercepted.
The Internet has become the keystone of most modern business communications, and this includes accounting firms. Accountants send hundreds of emails every week and most of these these messages don't include private files. Financial statements, tax returns, QuickBooks files and the like pose a significant threat to your clients' welfare, however, if they fall into the wrong hands. Sending this type of information by email isn't just irresponsible, it's actually illegal. The Gramm-Leach-Bliley Act requires accounting firms to take reasonable steps to protect the consumer information they collect.
It is important to understand the difference between security and privacy if firms are to comply with mandates about client data protection. Privacy is about protecting your clients' identities. It's loosely tied to security in that it's often considered a subset of authorization, but privacy breaches usually involve a business deliberately selling client information to a direct marketing firm or similar third party. Security is about protecting information from uninvited intruders and is comprised of three primary elements, which are authentication, authorization, and audit.
The best solution for this issue can be found in most commercially available CPA websites. Almost all the major CPA website providers offer secure document portals.
Portals provide a safe alternative for sending documents like tax returns, social security numbers, and financial statements. Unlike email a portal transfer encrypts the data and transfers directly from your server to the website's. This eliminates the possibility of a "man in the middle" attack. It keeps the data out of the public domain and restricted to servers under your direct control.
At this point I should disclose something. I own a company that designs CPA websites and yes... that includes a portal system. That's how I make my living but don't mistake this as a crass sales pitch. I'm absolutely not the only person marketing these things. Frankly, all the best CPA websites provide a secure data transfer system. Transmitting your clients' confidential personal data by email is really pretty irresponsible, and it's important that CPA and accounting firms grasp this before their clients and alter their procedures accordingly.
